  1. Call to order by Jean Hanson, Asst. Chairperson
    Members present: Chuck Anthony, Carol Peterson, Phil Peterson, Rebecca DuBey, Jerry Neath, Jean Hanson and Mark Hanson

  2. Approval of Minutes from April 25, 2003 Meeting
    Moved approval by Phil, seconded by Chuck.

  3. Announcements:
    Jean applauded Jerry's history of the church. "Yoeman's duty...above and beyond the call of duty!" she said. Roundly agreed by all present.

  4. Committee Reports
    1. History: Jerry Neath
      Timeline updated and now on line. He'll be doing updates as they become available.

    2. Cemetery: Jennifer Ehle
      -Jennifer was not able to attend this meeting.

      -Jean had success contacting Hazel Anthony's daughter Elaine Karls about acquiring one acre of land to be added to the cemetery.

      -Chuck provided the committee a sketch showing the extra land Herman Anthony gave the cemetery association in 1959 .

      -Elaine is Herman Anthony's daughter living in Monroe. Jean reported on her conversation last week.  Jean had said to Elaine there were not many lots left there, the only ones left were up front near the highway. (Elaine had the idea that there were quite a few available plots.)  Elaine said they are beginning to investigate splits available for their property. "I can't make any kind of commitment on giving any land until I find out if it will affect our splits," she said. (Jean believes that it will not affect their splits.)  Elaine reported that her Dad "really didn't want us to divide the farm, but we can't control what happens after we're gone so maybe we should profit now."

      -It was pointed out that in addition to more land for graves we really should have land for parking when the church is available for wedding, funerals and other activities.  We've got to make obtaining more land a goal, the group concluded.

      -Jean talked to Florice Paulson who has relatives in the cemetery.  She is interested in the history of the property. She might have a picture of the church.

      -Chuck said that he needs to go talk with Hannah Fox , who might also have a picture of the church.  They owned the farm where the State Farm is.

    3. Church Restoration: Cindy Bacon
      -Becca: Progress on physical assessment of building.
      -Project manager: Will need someone who will approve recommendations of various tradesmen to satisfy funding and government requirements.
      -Myron and Cindy will contact Jim Wallace the stonemason before the next meeting.

    4. Grants and Finance: Myron Bacon
      -Jean reported what she had learned from Myron: Contributions to the church project are deductible and monies can be kept separate. Possibility of setting up separate accounts with Rutland treasurer to receive Committee monies.

      -Becca: Progress on learning about grant application process and making a list of possible grant-giving organizations that might help: Becca has a way to go on this project.

      -Orin says Dawn George knows how much money was in the Centennial Project. Darlenesays she thinks it was 1976, which would make it more than 18 years. Donna Brown Alme may know who was on the committee. The group still controls the money. Dale Beske didn't know a thing about it.

      -Chuck will look into getting a paint company to donate paint and perhaps a window company to provide some windows.

    5. Public Information: Mark Hanson
      -Neath History of the United Brethren Church of Rutland added to website

      -Poster prepared for distribution in local grocery stores and libraries

      -Vinyl sign to advertise website on church will cost about $35 to $60. Need to check with township about sign placement. Legal and paying cost. Becca suggests we do two signs and have them mounted perpendicular to the highway. The committee approved Mark's selecting a vendor and requesting funding from the town.

    6. Legal: Chuck Anthony
      -Myron as told to Jean: Report of discussion with DOT: Church is designated a historic building in Dane County but it has never been registered. He has to find out what it takes to register it.


  5. Old Business
    1. Jean: Status of contribution of $4000 to $5000 by Orrin Otteson and members of Rutland Centennial Committee 18 years ago
    2. Becca: Establish file at Oregon Historical Society for Church and Cemetery memorabilia: File is now ready to receive information.
    3. From Jennifer to Mark: Place copy of Hauge Church Newsletter in Oregon Historical Society (OHS) Rutland file
    4. Jennifer: Plan an ice cream social on church grounds with free will donation suggested
    5. Jerry: Prepare copy of Sharon George drawing from 1873 for inclusion on website and OHS file.
    6. Jennifer: Publish names of individuals buried in the cemetery on website and place list in OHA file.
    7. Jennifer: Add Obits and death notices of Rutland citizens found by Ruth Ann Montgomery to the OHS file
    8. From Phil to Mark: Place info from Wisconsin Historical Society 1906 book and History of United Brethren from Wisconsin Conference in OHS file
    9. Organize a meeting of individuals who have an interest in people buried in the cemetery

  6. New Business
    1. Jennifer: Develop a Mission Statement for the Committee
    2. Mark: Develop process for making contributions to the project
    3. Mark: Develop method for financing small expenditures like website sign
    4. Mark: Publish only committee members on the website


  7. Next Meeting: June 20 3:00-4:30 at Historical Society

  8. Adjournment: The Meeting was adjourned at about 5:15.
